1. Data controller

The publisher of HiveBots (see the legal notice), who can be reached by opening a ticket on our Discord.

2. The data stored

When you log in to the website with Discord

• Your Discord ID, username and avatar, as well as the dates of your first and last login.
• The list of your Discord servers, read from Discord to know which ones you can manage (it's not stored permanently).
• A session cookie, so the website remembers you're logged in (7 days).

For servers that use HiveBots

• The settings chosen in the panel (enabled modules, channels, roles, texts…) and the Premium subscription.
• Depending on the modules the server enables: the Discord IDs of the members concerned and the information related to the module (an employee's rank and sales, hours on duty, absences and their reason, stock movements, posted ads, recruitment or whitelist applications and their answers, tickets, membership of an organization and its funds' movements).
• The Tickets and Logs modules can post the content of some messages (a ticket transcript, a deleted or edited message) in a channel of the server, only if the server enables them.

Medical records and criminal records

These modules are used for role-play: they concern fictional characters. They must not contain any real health data or any real judicial information. They are only visible to the roles chosen by the server (for example EMS or police) and to its managers.

The website's AI assistant

When you ask the assistant a question (the 🐝 bubble, only for logged-in people), your question and the current conversation are sent to Anthropic, which provides the artificial intelligence (Claude), to generate the answer. Conversations are not stored by HiveBots: only a counter of the number of questions per day is kept, to limit abuse and track costs. Never write a password or sensitive personal information in the assistant.

3. Why this data is used

• To run the bot and the modules chosen by each server (performance of the service).
• To let you log in to the website and manage your servers.
• To manage Premium subscriptions.
• To keep the service secure (for example anti-scam and access rights checks).

4. Who can see this data

• Each server's managers, in its panel, and the members allowed by the chosen roles (management, staff, EMS, police…).
• The publisher of HiveBots, to run and troubleshoot the service.
• Our technical providers: Discord (the bot runs on Discord), Hostinger (hosting of the website, the bot and the database) and Anthropic (the AI assistant, only for the questions asked to it).

No data is sold or shared for advertising purposes.

5. How long

• A server's data is kept as long as the server uses HiveBots, then deleted at the simple request of its managers.
• Managers can delete a large part of the data themselves from the panel (employees, files, items, ads, organizations…).
• The session cookie expires after 7 days.
• Database backups are made every night and kept for 14 days, then deleted automatically.

6. Cookies

The website uses two strictly necessary cookies: the session cookie that keeps you logged in, and a “langue” cookie that remembers the language you chose (1 year). There are no advertising cookies and no audience measurement tools. The website's fonts are loaded from Google Fonts, which therefore receives your IP address when pages are displayed.

7. Your rights

In accordance with the General Data Protection Regulation (GDPR) and the French Data Protection Act, you can ask to access, correct or delete your data, or object to its use. Simply open a ticket on our Discord stating your request.

If you believe your rights are not respected, you can file a complaint with the CNIL, the French data protection authority (www.cnil.fr).

8. Minimum age

HiveBots is used with a Discord account: you must therefore meet the minimum age set by Discord and by the law of your country.

9. Changes

This policy may change, for example when a new module arrives. The date of the last update is shown at the top of the page.
